HIPAA-Compliant Behavioral Health Operations Platform

What was needed

A behavioral health / assisted living organization needed a single system to run day-to-day operations across group homes — resident care tracking, staff scheduling, and the compliance logging state licensing requires — with HIPAA-compliant handling of protected health information as a hard requirement, not something layered on after the fact.

What was built

A custom application covering:

• Multi-residence staff management — group-based permissions scoped to each residence, so access maps to who actually needs it
• Resident records — demographics, medications, and doctors, plus configurable behavior tracking (ABC data and Behavior Support Plans) and a token-economy system for behavioral incentives
• Scheduling & shift handoffs — activity schedules and shift-to-shift handoff logs, so nothing gets lost between staff changes
• Document management — with expiration tracking for licenses, certifications, and other time-sensitive records
• Compliance logging — water temperature readings, meeting logs, and disaster drill records, with an automated monthly job that flags gaps against state licensing requirements

Data handling, access controls, and authentication were designed around HIPAA requirements from the first architecture decision, rather than added on after the fact to a generic system.
